How to run a great event

Set up
Get the event on the calendar and connected.
Create your event
Add your event via the wizard — pick a conference, fill in details, and publish. Or submit an existing Luma event so payouts stay on your calendar.

Choose artwork
Upload your square calendar tile (800×800) plus optional tile, wide, and tall formats and a cover image from the Overview tab.
Add organizations & bios
Link the host, co-host, sponsor, and partner organizations — with logos and bios — so credit and branding show on your event page.
Book a venue
Browse DTW-listed venues and request a time slot; the venue owner confirms. Or just enter your own venue address.
Sync with Luma
Luma is the source of truth for registration. Use the sync button to check status, push local changes, pull Luma updates, or resolve field-level conflicts.
Build the program
Line up speakers and run the show.
Add speakers
Search or create speaker profiles, set roles (keynote, panelist, moderator, host), attach their organizations and bios, and drag to order them.
Build the run of show
Compose a minute-by-minute timeline of segments with durations, speakers, and AV notes. Export a combined run-of-show PDF/ZIP.
Set holding slides
Generate or upload a holding slide per segment to show before each talk begins — AI-generated from your poster art or your own image.
Collect speaker decks
Send each speaker a token link to upload their slides — auto-converted and assigned to their segment. They can attach speech notes and walk-on music too.
Promote it
Make the assets that fill the room.
Generate posters
Create AI sci-fi poster art from a gallery of film-inspired styles. Publish up to 6 per event as collectible art on your event page.
Make marketing content
Generate promo, speaker-lineup, and individual-speaker cards in poster, square, and landscape formats for social and banners.
Fill the room
Bring the right people in.
Review registrations
See live registrations with full profiles, match scores, and Luma answers. Batch-approve pending guests and export to CSV.
Filter applicants
Filter by status, source, role, industry, Luma answers, and match score; sort by fit or past attendance to approve the right crowd.
Send targeted invites
A guest CRM scoped to your event (included on Luma events). Build invite lists filtered by role + industry; RSVPs land on your Luma guest list. Billed per send.
Elevate
Deepen connections and reward your best guests.
Social Capital & matchmaking
Optional paid module: AI-scored 1:1 intros emailed before the event and drag-and-drop dinner groups with live compatibility scores. Trade Show and Hackathon modules are available too.
VIP program
Set VIP capacity, share a VIP coupon code, and track tickets granted and used for your highest-value guests.
