Everything you need to know about finding and attending events.

Finding Events

There are several ways to discover events:

  • Home Feed - Your personalized dashboard shows upcoming events based on your interests and past attendance.
  • Conference Pages - Browse all events for a specific conference on the calendar grid (e.g., /sf-2025).
  • Direct Links - Event hosts may share direct links to their event pages.

Registering for Events

Registration happens through Luma, our event management partner.

Registration Steps

  1. Find an event you want to attend
  2. Click the "Register" button on the event page
  3. You'll be redirected to Luma to complete registration
  4. Fill out any required registration questions
  5. Submit your registration
  6. Check your email for confirmation from Luma

Tip: Your registration automatically syncs back to Deep Tech Week. You can view all your registrations in your dashboard.

Approval-Required Events

Some events require host approval before you're confirmed. This is common for VIP events, limited-capacity sessions, or curated gatherings.

How It Works

  1. Submit your registration as usual
  2. Your status will be "Pending Approval"
  3. The host reviews your profile and registration
  4. You'll be notified when approved (or if declined)
  5. Once approved, you'll receive your confirmation

Improving Your Approval Chances

  • Complete your profile with accurate information
  • Add a clear profile photo
  • Link your LinkedIn for verification
  • Write a compelling answer to registration questions
  • Build trust by attending other events first

Note: Hosts can see your profile information marked as "visible to hosts" when reviewing your registration.

Registration Statuses

Your registration can have several statuses depending on the event settings and host actions.

Pending

Your registration is awaiting host approval. You are not yet confirmed for the event.

Approved / Registered

You're confirmed for the event. Check your email for details and add it to your calendar.

Waitlisted

The event is at capacity. You'll be notified if a spot opens up.

Checked In

You've checked in at the event. This unlocks poster collection if available.

Declined / Cancelled

Your registration was declined by the host or you cancelled your registration.

Check-In Process

Check-in happens at the event venue through Luma.

How to Check In

  1. Arrive at the event venue
  2. Find the check-in area (usually at the entrance)
  3. Show your QR code from the Luma email or app
  4. The host scans your code to check you in
  5. You're in! Your check-in syncs to Deep Tech Week

Tip: Save your Luma confirmation email or add the event to your calendar for easy QR code access.

Poster Collection

Many events offer collectible posters as digital badges to commemorate your attendance.

How It Works

  • Events with poster art display a "Collectible" badge
  • Posters are awarded automatically when you check in
  • Some events may award posters on registration instead
  • View your poster collection in your profile
  • Posters show your attendance history across conferences

Cancelling Your Registration

If you can no longer attend an event, please cancel your registration so the spot can go to someone else.

How to Cancel

  1. Open your Luma confirmation email
  2. Click the link to manage your registration
  3. Select "Cancel Registration"
  4. Your cancellation syncs to Deep Tech Week

Refund Policy

  • Most Deep Tech Week events are free
  • For paid events, refunds before the event are at host discretion
  • No refunds are available after the event concludes
  • Cancelled events receive automatic full refunds
