Solutions to common issues and how to get help.
Registration Issues
"I registered but don't see it on my profile"
Registrations sync from Luma via webhooks. This usually takes a few seconds, but occasionally there can be delays.
Try:
- Wait 5-10 minutes and refresh your profile page
- Check your email for a Luma confirmation
- Verify you registered with the same email as your DTW account
- If still missing after an hour, contact the event host
"My registration is stuck in pending"
This means the event requires host approval and your registration is awaiting review.
What to do:
- Be patient - hosts review registrations on their own schedule
- Ensure your profile is complete and accurate
- If urgent, contact the event host directly via the event page
- Check your email for any requests for additional information
"I need to change my registration details"
Registration changes are managed through Luma.
Steps:
- Open your Luma confirmation email
- Click "Manage Registration" or similar link
- Update your information or cancel and re-register
- Changes sync back to DTW automatically
"I was declined from an event"
Event hosts have full discretion over who attends their events.
Possible reasons:
- Incomplete profile information
- Event targeting specific audience (investors only, founders only, etc.)
- Capacity limits reached
- Registration answers didn't match event criteria
Consider completing your profile and trying other events to build your attendance history.
Luma Sync Issues
"My event isn't showing on Luma"
Events are created on Luma when they're approved by the DTW team.
Check:
- Is your event status "Published"? If still pending, wait for approval
- Look for the Luma URL in your event dashboard
- If published but no Luma link, contact support
"Attendee list isn't updating"
Registration data syncs via webhooks in real-time, but sometimes there are delays.
Try:
- Click "Sync from Luma" in your event dashboard
- Wait a few minutes and refresh
- Check Luma directly to see current registration count
- If sync status shows "Conflict", manual resolution may be needed
"Event details don't match between DTW and Luma"
This can happen if changes were made directly on Luma instead of through DTW.
Best practice:
- Always make changes through DTW, not directly on Luma
- If your sync status shows "Luma Changes", review and accept
- For conflicts, decide which version is correct and sync accordingly
"Check-ins aren't being recorded"
Check-ins flow from Luma to DTW via webhooks.
Ensure:
- You're using Luma's check-in feature at the event
- QR codes are being scanned (not manual check-in)
- Give it a few minutes to sync
- Click "Sync from Luma" to force a refresh
Account Issues
"I can't log in"
Deep Tech Week uses social login (Google, LinkedIn, Discord, Twitter).
Try:
- Use the same provider you originally signed up with
- Clear your browser cookies and try again
- Try a different browser or incognito mode
- Ensure you're logged into the correct account on the provider
- If you used multiple providers, try each one
"My email changed"
Your account is tied to your login provider, not directly to an email.
Options:
- If your email changed on your provider (Google, etc.), just log in normally
- If you want to link a different email for historical attendance, use the "Link Email" feature in profile settings
- Contact support if you need to migrate your account
"How do I delete my account?"
You can request account deletion through your profile settings.
What happens:
- Your profile and personal data are removed
- Your event registrations remain as anonymous records
- If you own organizations, transfer ownership first
- Any events you created must be reassigned or cancelled
- This action cannot be undone
"I'm seeing someone else's data"
This is rare but can happen with shared devices or browser sessions.
Steps:
- Log out completely
- Clear browser cookies for the site
- Log in again with your own credentials
- Report the issue to support if it persists
Event Issues (For Hosts)
"My event was rejected - what now?"
Rejection feedback is provided with the reason. Common fixes:
- Missing info: Complete all required fields
- Artwork issues: Upload images meeting size requirements
- Not relevant: Clarify connection to deep tech themes
- Venue problems: Verify venue details and availability
After addressing the feedback, you can revise and resubmit.
"I need to cancel my event"
You can cancel a published event, but registered attendees will be notified.
Steps:
- Go to your event dashboard
- Click "Cancel Event"
- Provide a reason (optional but recommended)
- Confirm cancellation
- Attendees receive automatic notification from Luma
- Paid events issue automatic refunds
"I need to update event details after publishing"
You can edit most event details after publishing.
What you can change:
- Description and details
- Venue (notifies attendees)
- Time (notifies attendees)
- Capacity
- Artwork
Note: Changing time or venue triggers notifications to registered attendees.
"I accidentally published before I was ready"
Once published and synced to Luma, you can't unpublish, but you can:
- Edit all details as needed
- Cancel and recreate if necessary
- Set visibility to "Unlisted" to remove from public calendar
